Before you try anything on your list, check with IT that the tool, and the data you plan to use with it, are approved.
List the work your team repeats
You're looking at an example: the IT team at Kestrel Valley Foods, a made-up company. Choose Start over to list your own work.
Doing this with your team?
Put this page on a shared screen. The people who do the work know it best. Plan on about 30 minutes.
- Explain why you're here: you're sorting tasks, not judging people. Describe each task, not the data in it.
- Go round the room. Each person adds the three to five tasks they repeat most.
- Answer the five questions for each task. The person who does it answers. If the room can't agree, pick the more cautious answer.
- Read the results aloud. Agree who will check with IT, and download the results to share.

Subject: 30 minutes to sort our recurring work Hi all, On [day and time], we'll spend 30 minutes listing the work our team does again and again, and sorting it: which tasks are a good fit for AI, which can wait, and which to keep AI away from. We're sorting tasks, not people. Before then, please jot down three to five tasks you do every week or month, and roughly how long each one takes. Thanks, [Your name]
